Copy and Paste Techniques for Excel

Most people know how to do a basic copy and paste procedure within the same Microsoft application. But did you know that when you copy cells of data from Excel, the way you paste it into Word or PowerPoint will produce different effects?
In both the 2003 and 2007 versions of Microsoft Office, you will find not only a simple copy/Paste function, but the ability to paste Excel information into Word or PowerPoint as a Link or a Picture! When you paste the Excel information as a link, changes to the data will be reflected on the Word or PowerPoint file. Pasting information from Excel as a pictures ensures that no one changes the data on the Word or PowerPoint file.
Simple Copy and Paste.
- Highlight the cells you want to copy.
- Copy the highlighted cells as you normally would (i.e. right-click and select Copy).
- Go to the Word document (or PowerPoint slide), right-click and select Paste (or paste the Excel data as you normally would).
- The pasted data is a simple table in Word and PowerPoint, which you can edit, add new rows, etc.
Simple Copy and Paste as Link Using Microsoft Office 2003
- Highlight the cells you want to copy.
- Copy the highlighted cells as you normally would (i.e. right-click and select Copy).
- Go to the Word document (or PowerPoint slide).
- Click Edit and select Paste Special …
- Select Paste link and Microsoft Office Excel Worksheet Object and click OK
(see following image) - Now the pasted data is connected to the Excel workbook. Every time the Excel workbook is modified, those changes will display in your Word/PowerPoint file.

Simple Copy and Paste as Link Using Microsoft Office 2007

Highlight the cells you want to copy.

Copy the highlighted cells as you normally would (i.e. right-click and select Copy )

Go to the Word document (or PowerPoint slide)

On the Home ribbon, in the Clipboard group, click the drop-down arrow for Paste

Select Paste Special … (see following image)

Select Paste link and Microsoft Office Excel Worksheet Object and click OK

Now the pasted data is connected to the Excel workbook. Every time the Excel workbook is modified, those changes will display in your Word/PowerPoint file.

Copy as Picture and Simple Paste Using Microsoft Office 2003
- Highlight the cells you want to copy on your Microsoft Excel sheet
- Press and hold the Shift key on your keyboard and click Edit
- Continue to press the Shift key and select Copy Picture… from the Edit menu
- On the Copy Picture dialogue box (see image on right), accept the default settings or make changes if you want to test out the functions
- Click OK
- Go to your Microsoft Word or Microsoft PowerPoint, right-click and select Paste (or paste the Excel data as you normally would).
- Now, the neat thing is that the copied cells are a Picture! It looks exactly the same as it appeared in Microsoft Excel! Plus, no one can change or add to the content!
Copy as Picture and Simple Paste Using Microsoft Office 2007

Highlight the cells you want to copy on your Microsoft Excel sheet

On the Home ribbon, in the Clipboard group, click the drop-down arrow for Paste

Select As Picture > Copy as Picture … (see following image)
