Locking PowerPoint 2003 Files

There will be times when you need to be able to lock a slide deck, so it’s read only. Perhaps, the presentation needs to be distrusted to an outside group and you don’t want the slides altered. Even if the presentation is used internally, locking your slides from modification can prevent the integrity of your work from being compromised.
OK, so I’ve convinced you that it is a good thing to do, but how is it accomplished? Fairly simply. Use the following steps to secure a presentation and then test your settings.
Open the PowerPoint Presentation. From the menu, select File, Save As… which opens the Save As dialog box. In the top, right-hand corner of the Save As dialog box, click on the Tools menu option and select Security Options…
The Security Options dialog box opens. Assign one password to open the file (read only mode). Share the open password with anyone you want to be open the file in a read only mode. Entera different password to modify the file. Share this password only with people you trust to modify the file. Check the box for Privacy options (”Remove personal information from file properties on save”) as desired.
Click OK to close the Security Options dialog box. You will be asked to confirm the password for opening and modifying the by rekeying the appropriate passwords.
After confirming the passwords, click Save then click Yes to the question “Do you want to replace the existing file?”
Close and open the PowerPoint file.
Enter the password to open the file when prompted and click OK.
Enter the password to modify the file when prompted and click OK if you need to modiify the file. If the user does not have the password for modification, they click on the Read Only button. In the Read only mode, they will only be able to play the slide show. They cannot edit it.
An important note, don’t forget your password or you could lock yourself out entirely.
